Prospective students

A prospective student (prospect) is a child whose family has enquired about, or applied to, your school but who has not been admitted yet. Reception can record prospects without a class, section, session or fees.

Recording a prospect

  1. Open the student form in prospect mode from the front desk or the students list.
  2. Enter the child's and guardian's details, and the class applied for.
  3. Save. The child appears on the Prospective tab of the student list.

You can also import prospects from a spreadsheet, in the same format as a student import.

The prospect's profile

Open a prospect from the Prospective tab to see their record, marked Prospective — not yet admitted: the class they are applying for, their guardian, when they were recorded, and their details. You can edit the details here.

Admitting a prospect

When the child is accepted:

  1. Open the prospect and choose Admit Student.
  2. Choose the class and section they are joining.
  3. Confirm.

The child keeps the same record, so nothing is retyped, and the guardian stays attached. If no guardian was recorded with the enquiry, admitting asks for one.

You can also admit from the full admission form, which opens already filled in from the prospect's record.

Removing a prospect

Remove takes a child off the prospective list but keeps their record.

Who can do what

Recording prospects and admitting students are separate permissions. Reception can record prospects, while only staff with permission to add students can admit them.
