Sales and inventory

Sales/Inventory follows the school's supplies, such as uniforms, books and stationery, from purchase to sale or issue. It needs a plan that includes it.

Setting up

Open Sales/Inventory → Setup. Its tabs (each with its own permission) hold your lists of:

  • categories, such as Uniforms or Books;
  • suppliers;
  • stores, where stock is kept;
  • units, such as piece or carton.

Then open Product and add each product with its code, category, purchase price, sales price, purchase unit, sale unit, and the unit ratio: how many sale units are in one purchase unit, for example 12 pieces in a carton.

Buying stock

Open Purchase and record a purchase bill from a supplier. Stock goes up only when the purchase is marked received, by the quantity times the unit ratio.

Open a bill to see the invoice and its payment history. While money is still owed, add a payment, with the account, payment method and remarks.

Selling

Open Sales to sell to a student (found by class) or a member of staff. Choose products by category, the quantity, and record the payment.

Sale payments are recorded as income in Inflow automatically.

Deleting a sale returns its items to stock.

Issuing items

Open Issue to hand out items without selling them, for example lending equipment. Academium shows the available stock, and you can set a due-back date.

Running low

Catch Up tells you about products that are out of stock and those running low. Each person can choose the level they count as "running low" in their preferences.

Reports

Under Reports → Sales/Inventory: stock, purchase, sales and issues reports.

Common issues

Stock did not go up after a purchase. The purchase is not marked as received yet.
